Everyone struggles with knowledge management at some point.

Personally, I have for years. Following my reveal on #Day12 of my struggles reaching out, getting support and optimising my learning, I needed to take matters further into my own hands!

I worked out that the start of everything is the planning and organisation. Why? It sets up the rest of the process for success, both in simplicity and flow.

The key, for most people, is learning to be organised.

The best way is to use a system.

Along my journey, I knew I wasn’t wrong! I have ADHD. So, all the more reason to get on top of this system for organisation!

But what changed for me was that I found myself lost within my organisation after 10 years. I thought my existing system was OK, but later realised it wasn't even a system!

I was lost within files and folders across multiple cloud storage apps (Google Drive, Dropbox), and I was spending extra time locating and storing new files in the now unorganised file system. And as soon as that clicked, I started to understand that overcoming knowledge management wasn't that hard—I was just approaching it all wrong!

Here's what I should have done instead:

Develop A System Using A Concept And A Design!

A knowledge management system has many benefits!

From where I was, working within folders with files, in different locations with no structure. To now, using a simple concept that I changed for me and my system and a design around the software stacks I use.

The system design is:

  • Dropbox: Personal digital file cabinet including my stored files, scanned and dormant. I do not have one physical piece of paper at all! My business file system for my two businesses and, now, my personal brand are stored here as well.

  • Google Drive: business files that are active and in progress.

  • Apple One: App files, backups, and integration between my tech set up for desktop and download files.

  • Notion: This is the golden part! I designed and created my own personal systems using notion.

I use a system called PARA, which I revamped for myself. It's called IAGPARA (concept), and using this method with a minimalistic tech and software stack can supercharge your knowledge management!
