Where is the Media library and what is it for?

The Media library is the Media page in the left sidebar (under Write and Digital Brain).

Media holds the photos, videos, visuals and files you want to keep and reuse, at full quality. You upload them yourself, or save images the Designer made for you. Your agents can pick from your Media library when they put images or videos on posts.

Posts you have already published are not kept in Media. Their text and media stay in your Digital Brain instead.

The top of the Media page shows how many files you have and how much storage they take up. A storage bar floats at the bottom of the page (see "How much Media storage do I get?").

What are the default folders in Media?

Every Media library starts with six folders that show what is worth keeping:

  • Photos: photos of you, your desk, your events and your day. Your agents use them on posts that describe a moment.
  • Screenshots: results, comments, messages, dashboards and posts worth showing.
  • Short-Form Videos: clips to post or cut down, such as talking to camera, demos or behind the scenes. Long originals are fine.
  • Infographics: diagrams, frameworks and one-image explainers.
  • Carousels: slides and carousels to post again or remix. A PDF here can go out as a LinkedIn carousel.
  • Atomic Essays: your Atomic Essay images, ready to share again.

They are ordinary folders. You can rename them, change their color, or delete them like any folder you make.

How do I create a folder in Media?

  1. Open Media in the sidebar.
  2. In the folder grid at the top, click the Add new folder card.
  3. Type a name (up to 60 characters) and pick a color.
  4. Click Create folder.

You can also make a folder while moving a file: open the file's ... menu and choose New folder…. The file is moved into the new folder once it is created.

Folders are one level deep: you can't put a folder inside another folder. A file can be in only one folder at a time.

How do I rename a folder or change its color in Media?

  1. Hover over the folder card in Media and click its ... button (or open the folder and use the ... next to its name at the top).
  2. Choose Rename or change color.
  3. Change the name or color and click Save.

How do I delete a folder in Media?

  1. Hover over the folder card and click its ... button (or open the folder and use the ... next to its name).
  2. Choose Delete folder, then confirm with Delete folder.

Deleting a folder does not delete the files in it. They move back to the top level of Media. Only the folder itself is removed.

How do I move files into or out of a folder in Media?

There are two ways to move a file in the Media library.

Drag and drop:

  • Drag a file tile onto a folder card to move it into that folder.
  • While inside a folder, drag a file onto Media in the path at the top of the page to take it out of the folder.

Using the file menu:

  1. Hover over the file and click the ... button in its top-right corner.
  2. Under Move to, pick a folder, or choose New folder… to make one.
  3. To take a file out of its folder, choose Take out of folder.

If a move fails you'll see "Could not move that. Please try again." and the file goes back where it was.

How do I search my Media library?

Use the search box at the top of the Media page ("Search by what it shows or what it's about").

Search looks at:

  • what is in the picture or video (Typeshare describes each image and video after upload),
  • text that appears in the image,
  • what the post it came with was about,
  • the name of the folder it is in,
  • the file name,
  • for videos, what is said in the video and its key moments.

Where search looks depends on where you are:

  • At the top of Media, search covers every file in every folder.
  • Inside a folder, search covers only that folder.

If nothing matches, try other words: what is in the picture, or what the post was about. Click the X in the search box to clear it.

New uploads become searchable by content shortly after they finish uploading. Files the page can't preview (such as PDFs or design files) are found by their file name and folder only.

Can I search inside my videos by what is said in them?

Yes. When you upload a video to Media, Typeshare transcribes what is said in it and notes its main moments. You can then search the Media library for words or topics spoken in the video, and your agents can find the right clip for a post.

Transcribing happens after the upload finishes. A short clip is usually ready quickly; a long video (a talk of an hour or more) can take several minutes before it shows up in search.

A video's length is shown in the bottom-left corner of its tile once Typeshare has read it.

How do I view or download a file from Media?

To view a file, click its tile. Images, videos and carousels open in a full-screen viewer. A carousel shows its pages as a strip you can move through.

To download:

  • In the viewer, click Download at the top. For a carousel this downloads the page you are looking at.
  • Or hover over the tile, click ..., and choose Download (for a carousel, Download all pages, which downloads every page together).

Downloads are the file exactly as stored, at full quality.

Files the page can't preview, such as PDFs, design files or raw photos, show as a card with their file type and name. Clicking one downloads it.

How do I delete a file from Media?

  1. Hover over the file and click ... in its top-right corner.
  2. Choose Delete.
  3. Confirm with Delete.

The file leaves Media for good and stops counting toward your storage. Posts that already use the file keep working.

There is no undo, so download anything you want to keep first.

What do the labels on Media tiles mean?

Hovering over a tile in Media shows what the file is and where it came from, plus the date it was added:

  • Uploaded: you uploaded it.
  • Generated by the Designer: the Designer created it from a prompt.
  • Made in Typeshare: a visual or carousel made for one of your posts.
  • Made by the Designer: something else the Designer made that you saved.

A carousel tile shows a page count in its top-left corner. A video tile shows its length.

How do I save a Designer image to my Media library?

Images and visuals the Designer makes are working drafts until you keep them. To keep one:

  1. Under the image in the chat, click Save to Media.
  2. Choose where to save it: Media (the top level), one of your folders, or New folder….

The button then reads "Saved to" and the folder name. If you edit a saved visual on the Write page afterwards, the button reads Save again: click it to replace the saved version with the current one, in the same folder. Unsaved Designer drafts are not in your Media library and don't count toward your storage.
